About our Virtual Assistant Role
This is a fully remote, part-time independent contractor position. We are prepared to begin onboarding immediately for the right candidate, though we are also willing to wait.
Ideally, our virtual assistant would be in place by March, allowing time for training and onboarding to be completed before our busy season begins in May.
This role is best suited for someone who is highly self-motivated and able to complete assigned work without reminders or follow-ups. Tasks should be owned from start to finish. If you thrive on checklists, systems, and getting things done, you’ll fit right in.
What We’re Looking For
We’re seeking a virtual assistant who can help create a fabulous customer experience through thoughtful, timely interactions via email, phone, text, and social media.
Our programs genuinely sell themselves—we just need help connecting with families and guiding them through the process. We already have systems in place and can train you on best practices.
We’re looking for a go-getter—someone who:
Takes initiative
Asks questions when needed
Learns quickly
Owns their responsibilities
Completes work without being chased down
Experience with CRMs, lead management, and lead scoring is a strong plus.
What We Expect From You
You believe in our mission to prevent drownings and improve water safety for families, and you’re proud to represent that mission.
You love working with people. You’ll be the first point of contact for our customers and must be friendly, professional, and helpful—even on busy days.
You can balance empathy and kindness with professionalism (the customer isn’t always right, and that’s okay).
You can answer or return phone calls the same or next business day.
Answering calls as they come in is a bonus, but this is not a 24/7 or on-call role.
Occasional weekend availability is helpful but not required.
You are available during Arizona business hours and/or evenings.
You work independently and complete assigned tasks without reminders.
Tasks We Need Help With
Rescheduling and canceling client appointments, including those with less than 24 hours’ notice
Managing appointments using a scheduling software
Handling client relations:
Answering phones
Returning voicemails and texts
Responding to emails
Completing purchases over the phone
Responding to Instagram and Facebook messages
Serving as the first point of contact for customer service
Receiving compliments and complaints and sharing relevant feedback with the owner
Drafting payroll twice per month for owner approval
Preparing and sending handwritten mailings
Helping systematize and improve the use of a CRM, including tracking and scoring interested leads
We are open to adding additional duties as the business grows—especially if you identify opportunities for improvement and efficiency.
