Cancellation, Refund & Scheduling Policy

By registering for lessons and/or purchasing a lesson package with Arizona Mobile Swim, clients acknowledge that they have read, understood, and agreed to the following policies.

Client Responsibility for Scheduling

Arizona Mobile Swim operates on a self-scheduling model. Our website is a full-service platform that allows clients to view availability and book lessons directly.

• Clients are responsible for scheduling their own lessons after purchasing a package
• Purchasing a package does not guarantee that lessons will be scheduled automatically
• Communicating availability by email or text does not constitute scheduled lessons

Failure to schedule lessons—regardless of back-and-forth communication—does not qualify for refunds, extensions, or credits.

If you are unsure about your availability, we strongly recommend purchasing single lessons rather than a package.

Lesson Packages & Expiration

Lesson credits expire 180 days from the date of purchase, regardless of usage. Expired credits are forfeited.

Lesson packages are intended to be used within the same season in which they are purchased. If you believe you may forget to use lessons or may not use all credits within the expiration window, purchasing lessons one at a time is the best option.

No Refund Policy

Arizona Mobile Swim does not offer refunds for any lesson purchases, packages, group classes, or specialty programs.

This includes, but is not limited to, refund requests due to:
• Scheduling conflicts
• Illness
• Weather
• Pool conditions
• Unused or expired lesson credits
• Dissatisfaction after lessons have occurred

If you are on the fence about swim lessons, we recommend starting with a single lesson before committing to a package.

In the rare event that Arizona Mobile Swim elects to issue a refund at its sole discretion, the refund will be processed minus a $25 administrative service charge and non-refundable payment processing fees (3.5% + $0.30).

Private & Semi-Private Lesson Cancellations

The following policies apply to private and semi-private lessons only. Group classes and specialty programs follow separate cancellation and refund policies as outlined further below.

• Lessons cancelled with less than 24 hours’ notice will be charged in full
• For package holders, the lesson will be deducted from available credits
• If only one swimmer attends a scheduled semi-private lesson, the lesson may proceed as a private lesson. Any price difference is not refunded or credited.
• Lessons cancelled with 24 or more hours’ notice may be rescheduled, subject to availability

Late Cancellations & Service Sustainability

Arizona Mobile Swim is a small business. Last-minute cancellations significantly impact our instructors, who reserve time in their schedules and rely on this income.

We make every reasonable effort to notify instructors of cancellations; however, we do not have staff on call 24 hours a day. As a result, late cancellations may still result in an instructor arriving at the lesson location, and those lessons are considered charged and completed.

Arizona Mobile Swim reserves the right to suspend or discontinue services for clients who incur three (3) or more cancellations with less than 24 hours’ notice.

No-Show / No-Call Policy

A no-show is defined as failure to attend a scheduled lesson without prior notice.

• No-show lessons are charged in full and are not eligible for rescheduling or credit
• Instructors will wait up to 10 minutes past the scheduled lesson time. After that time, the lesson will be considered a no-show and completed. Due to back-to-back scheduling, we are unable to accommodate late starts or extend lesson times
• For first-time clients, Arizona Mobile Swim may make a courtesy call or text within the first 5–10 minutes to confirm location details. For returning clients, outreach is not guaranteed

If you are running late or unable to attend, please contact our office as soon as possible:
📞 Call or text: 928-275-1675

Address & Contact Information Responsibility

Clients are responsible for ensuring that all booking details are accurate and current, including:
• Lesson address
• Gate or entry codes (text us to add these details: 928-275-1675)
• A reachable phone number

Lessons unable to be completed due to incorrect, incomplete, or outdated information are charged in full.

Illness-Related Cancellations

Children who are actively sick should not attend lessons.

Lessons cancelled due to illness follow the same cancellation timelines outlined in this policy. While we understand that illness can arise unexpectedly, last-minute cancellations significantly impact instructor schedules. For this reason, illness-related cancellations with less than 24 hours’ notice are still charged. Consistent enforcement of this policy allows us to compensate instructors fairly and helps keep overall lesson pricing as low as possible for all families.

Weather-Related Cancellations

Outdoor Pool Lessons

For lessons held at outdoor pool locations:
• Lightning and hail will cancel lessons for safety reasons
• Rain alone does not automatically cancel lessons

If an instructor arrives at an outdoor pool and the lesson cannot proceed due to unsafe weather, the lesson is considered charged.

Indoor Pool Lessons & Snow Conditions

For lessons held at indoor pool locations, weather-related decisions—such as snow, ice, or hazardous road conditions—are based on an instructor’s ability to safely travel to the pool location.

Arizona Mobile Swim may:
• Preemptively cancel lessons, or
• Cancel lessons day-of based on travel safety

If no notification is received, lessons should be assumed to be proceeding as scheduled.

Arizona Mobile Swim makes every reasonable effort to provide advance notice when weather may impact lessons. However, conditions such as snow and ice can change quickly. In some cases, an instructor may determine that travel is unsafe later than preferred, which may result in short-notice or last-minute cancellations.

When Arizona Mobile Swim cancels indoor pool lessons due to weather or travel concerns, lessons may be rescheduled.

Family Travel Concerns

If you are uncomfortable traveling to a lesson location due to forecasted weather conditions, you are responsible for anticipating this in advance and cancelling with at least 24 hours’ notice.

Cancellations made with less than 24 hours’ notice due to personal travel concerns are subject to standard cancellation charges.

Pool Access, Maintenance & Water Condition Policy

Clients are responsible for ensuring that pools are accessible, usable, and lesson-ready at the scheduled lesson time.

Lessons are charged in full and are not eligible for rescheduling or credit if they cannot be completed due to:
• Algae or unsafe water conditions
• Recently shocked pools
• Strong chemical odors
• Poor water visibility
• Active pool maintenance
• Locked gates or unavailable access

Families are encouraged to notify their pool service provider when lessons are scheduled and to avoid maintenance or chemical treatments on lesson days.

Pool-related issues are considered client-side cancellations, not instructor cancellations.

Group & Specialty Programs

• Group classes are non-refundable
• Specialty programs, including Warm Water Accelerators and intensives, are non-refundable once begun
• Slots may be transferable to another qualified participant up to 7 days before program start
• Missed sessions do not carry credit value

Policy Updates

Arizona Mobile Swim reserves the right to update or modify this policy at any time. The most current version applies to all active purchases, packages, and enrollments.
